Our Tour Booking Terms and Conditions
MoaTours first priority is to ensure all our travellers have a safe experience. We operate an independently audited safety plan and we’ve taken the best industry and government advice to create our Safe Tour Operating Protocols.
Tour price & confirmation
Tour prices are quoted in $NZ.
New Zealand GST (Goods & Services Tax) of 15% is included in tour costs.
The non refundable deposit payment of 20% of the tour cost confirms your booking and acknowledges your agreement to our terms and conditions.
Terms of business are by prepayment of all tour costs.
Balance of fare
The balance of tour price is due to MoaTrek New Zealand Ltd 90 days before the tour starts. If the full tour price is not received by this date we reserve the right to cancel your tour and retain the deposit. Tour reservations can be made within 90 days provided full payment is made at time of booking.
Cancellation policy
Cancellation fees depend on when MoaTrek receives notification of a cancellation:
Bookings cancelled more than 90 days before departure incur 20% of tour cost.
Bookings cancelled between 89 days and 60 days incur 50% of tour cost.
Bookings cancelled within 59 days or less of tour departure incur 100% of tour cost.
No refunds will be made after travel has commenced.
Your deposit is valid for the dates originally booked and not transferable to other tours.
Tour payment
We offer a variety of convenient payment methods to make this as easy as possible. Payment options include, Visa and Mastercard, local bank transfer as well as international bank transfer direct into our New Zealand account. Please be aware that depending on the payment method, there may be transaction or foreign exchange fees included in the total amount. Once full payment is received into our bank account, including any fees, your tour booking is confirmed.
Prices
All holiday prices are based on schedules, fares and tariffs current at the time of quotation. MoaTrek reserves the right to vary the cost of tours if necessary for component cost increase. Tour costing will be guaranteed at the price prevailing at the date of final payment.
Luggage Limits
Travelling light: Please limit your luggage to one medium-sized suitcase weighing no more than 23kg. This will be stored in the luggage compartment and will not be accessible during the day. Bring a soft bag or small day pack that can be easily stowed on the coach for your rain jacket, sunhat, camera and other items.
Room & Dietary Requests
Special room and dietary requests will be accepted and passed on to the hotels and included meal suppliers but cannot be guaranteed.
Seat Rotation
For the enjoyment of all passengers MoaTours operates a daily seat rotation system which all passengers must participate in as a condition of booking.
Travel Insurance
To safeguard your tour payment in the event of your having to cancel your reservation or curtail your tour we highly recommend you take out domestic cancellation insurance at the same time as you make your booking as any cancellations received will be charged according to our terms and conditions above.
Health, Fitness and Behaviour
At MoaTrek, the safety and wellbeing of everyone involved in our tours – including guests, Kiwi Guides, and our local partners – is very important to us. To help ensure a safe and enjoyable experience for all:
- Payment of the deposit by the client(s) to MoaTrek New Zealand Ltd acts as a warranty that the client(s) is/are reasonably healthy and/or fit to participate in the tour.
- You also agree to indemnify MoaTrek New Zealand Ltd against any claims or demands resulting from any health or fitness issues that may arise.
- MoaTrek reserves the right to remove any guest from a tour if their health, fitness, or behaviour interferes with the operation of the tour or negatively affects other guests’ experience.
- If you become unwell during the tour and are unable to continue, require additional support, or if we have concerns about your health, safety, or wellbeing, we may contact your nominated Emergency Contact to ensure appropriate care is arranged.
Mobility and Accessibility
For the safety of yourself and everyone concerned:
- We are unable to accommodate walking frames, mobility scooters, wheelchairs, or crutches on our tours.
- All tours require a basic level of mobility – you must be able to walk at least 200 metres unassisted, including on uneven ground, and use the steps to get on and off our coach without assistance.
- Our Kiwi Guides are not able to provide individual mobility support. If you require assistance, you must travel with a capable support person who can assist you throughout the tour.
Privacy Act Waiver
Travellers joining our tours automatically give consent for us to pass essential personal information to our suppliers on the tour as necessary. This information may include full name; address; travel details; contact details; dietary requirements and health information.
Disability Assist Dogs
Accredited disability dogs may be brought on tour, however, for health, safety and wellbeing reasons they must occupy their own bus seat and be harnessed and attached to the fitted seatbelt. Additional fees apply.
Responsibilities
MoaTrek New Zealand Ltd advises that the service it provides is for the booking and packaging of goods and services provided by other operators such as hotels, attractions and transportation companies. Travellers are advised to familiarise themselves with the terms and conditions on which these services are supplied. Accordingly MoaTrek will not be responsible and will be excluded from liability for any loss, damage, omission or acts being negligent or otherwise, committed by the operators of airlines, coach lines, cruise vessels, hotels or attractions used in connection with the tours.
Optional Tours
MoaTrek New Zealand Ltd does not operate these excursions. As such, no person employed or associated with MoaTrek has any connection with the operators of these excursions. Accordingly, MoaTrek cannot and do not take any responsibility for any injury, action, loss or damage of any type, arising in any manner from these excursions.
Accommodation and activities
Occasionally MoaTours may need to make a variation to the listed accommodation. This accommodation will be of the same standard or best available alternative. If an included activity is unavailable, MoaTours will provide an alternative activity of a similar standard. MoaTours reserves the right to amend/alter an itinerary where necessary.
Dispute
The law of this contract is the law of New Zealand.
Documentation
The client(s) is/are responsible for the acquisition of passports and appropriate visas, where necessary. We recommend that such documents, as required by governments, are finalised at least six (6) weeks prior to the date of departure.
Refund
Please note that no refund shall be made for any unused portion of any itinerary. Any alteration to the holiday, made by a client(s), shall be wholly at the expense of that client(s).
Holiday Duration
The first and last day of most structured holidays is considered a travelling day and therefore depending on flight times may not necessarily be a whole day.
Force Majeure
Except where otherwise expressly stated in these booking conditions we regret that we cannot accept liability or pay any compensation where the performance of our contractual obligations is prevented or affected by reason of circumstances amounting to “force majeure”. In these booking conditions, ‘force majeure’ means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riots, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.
Use of Imagery
MoaTours reserves the right to use photographs or videos taken during tours for promotional purposes. This may include, but is not limited to, use online, in printed material or at public events.
